Who we are

We are ZeroMiss AI. We provide AI and business automation services. Our website address is: https://zeromiss-ai.com.

We are the “data controller” for the personal data we collect through this website. This means we decide how and why your data is used. You can contact us about privacy at any time using the contact form on our website.

This policy follows UK data protection law, including the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

Our automation services and your data

We build and run automations for our clients. To do this, we may connect to the apps and tools our clients already use. When we do this for a client, the client decides what data is used, and we only process that data to provide the service. In this case we act as a “data processor” for our client.

We only use data in the way our client has asked, and only to run the service. We do not sell this data. We do not use it for our own marketing.

Third-party apps and services

Our automations work with third-party apps and services. These are made by other companies, not by us. Examples include email and calendar apps, spreadsheets and document tools, messaging apps, CRM and sales tools, payment and accounting tools, website platforms, automation platforms and AI service providers.

When you connect a third-party app to our service:

  • We only ask for the access we need to do the job.
  • Data may pass between that app, our systems and our other service providers so the automation can work.
  • We keep login details and access keys secure and do not share them with anyone who does not need them.
  • You can remove our access at any time in the settings of that app, or by asking us to disconnect it.
  • We only send data to AI service providers when it is needed to run your automation. We choose providers that protect data and do not allow them to use it for anything else except giving us their service.

Each third-party app has its own privacy policy and its own rules for how it handles your data. We do not control these companies. Please read their privacy policies before you connect them. We are not responsible for how they use your data.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form. We also collect the visitor’s IP address and browser user agent string to help find spam. Comments may be checked by an automated spam detection service.

We may send an anonymised string made from your email address (also called a hash) to the Gravatar service to see if you use it. The Gravatar privacy policy is here: https://automattic.com/privacy/. After we approve your comment, your profile picture is visible to the public next to your comment.

Media

If you upload images to the website, please do not upload images with location data (EXIF GPS) inside them. Visitors to the website can download images and read any location data in them.

Cookies

Cookies are small files saved on your device. We follow UK rules, so essential cookies (needed for the site to work) can be set without asking you. Any non-essential cookies, such as analytics or marketing cookies, are only set after you say yes. You can change your mind at any time by deleting cookies in your browser settings.

These are the cookies our website uses:

  • Comment cookies: If you leave a comment, you can choose to save your name, email address and website in cookies. This saves you from typing your details again next time. These cookies last for one year. This is your choice.
  • Login test cookie: If you visit our login page, we set a temporary cookie to check if your browser accepts cookies. It has no personal data and is deleted when you close your browser.
  • Login cookies: When you log in, we set cookies to save your login details and your screen choices. Login cookies last for two days. Screen option cookies last for one year. If you choose “Remember Me”, your login lasts for two weeks. When you log out, the login cookies are removed.
  • Editing cookie: If you edit or publish an article, we save one more cookie in your browser. It has no personal data. It only shows the post ID of the article you just edited. It expires after one day.

You can block or delete cookies in your browser settings. Some parts of the site may not work if you do.

Embedded content from other websites

Pages on this site may include embedded content (for example videos, images or articles). Embedded content from other websites works in the same way as if you had visited the other website.

These websites may collect data about you, use cookies, add their own tracking, and watch how you use their content. This can include tracking you if you have an account with them and are logged in. Please read the privacy policy of each website.

Who we share your data with

We do not sell your data. We only share it when we need to, with:

  • Service providers who help us run our website and services, such as web hosting, email, spam detection, analytics and AI providers
  • The third-party apps you ask us to connect to, so your automations can work
  • Authorities, if the law says we must, or to protect our rights or safety

Our providers can only use your data to give us their service. If you request a password reset, your IP address will be included in the reset email.

Where your data is sent

Visitor comments may be checked by an automated spam detection service.

Some of our service providers and the third-party apps you connect may store or process data outside the UK. If this happens, we make sure your data stays protected. We use safeguards such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or a UK “adequacy” decision.

How long we keep your data

We only keep data for as long as we need it.

  • Comments and their details: Up to 2 years after you post. After that we delete or anonymise them.
  • Account data: Until you delete your account or ask us to delete it. We may keep some data for longer if the law says we must.
  • Messages to us: Up to 12 months after we finish helping you.
  • Data used in client automations: Only for as long as it is needed to run the service. When the service ends, we delete it within 30 days, unless the client asks us to delete it sooner or the law says we must keep it.
  • Business and accounting records: Up to 6 years, as UK law requires.

If you have an account, you can see, edit or delete your personal information at any time. The only thing you cannot change is your username. Website administrators can also see and edit this information.

What rights you have over your data

Under UK data protection law, you have the right to:

  • Be informed about how we use your data
  • Access the personal data we hold about you, in an exported file
  • Correct data that is wrong or incomplete
  • Erase your data (in some cases)
  • Restrict how we use your data (in some cases)
  • Move your data to another service (data portability)
  • Object to us using your data when we rely on legitimate interests
  • Withdraw consent at any time, if we use your consent (for example for cookies)
  • Not be subject to automated decisions that have a legal or similarly big effect on you

To use any of these rights, contact us using the contact form on our website. We will reply within one month. We may need to check who you are first. These rights do not cover data we must keep for administrative, legal or security reasons.

If your data is in an automation we run for one of our clients, we may ask you to contact that client, because they decide how your data is used. We will help them answer your request.

Security

We take steps to protect your data, such as secure hosting, encrypted connections, limited access and strong passwords. No website or system is 100% secure, but we work hard to keep your data safe. If a data breach puts you at risk, we will tell you and the Information Commissioner’s Office (ICO) as the law requires.

Children

Our website and services are not for children under 18. We do not knowingly collect data from children. If you think a child has given us their data, please contact us and we will delete it.

Complaints

If you are unhappy with how we use your data, please contact us first and we will try to put things right.

You also have the right to complain to the UK data protection regulator, the Information Commissioner’s Office (ICO). Website: https://ico.org.uk. Phone: 0303 123 1113.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page with a new “last updated” date. If the changes are big, we will tell you clearly.
